Change in Action NPO Fair: Terms and Conditions

Term’s & Conditions:

Selection Process

1. A judging panel consisting of business leaders, donors and representatives from non-participating NPOs (the “Panel”) will select twenty (20) organisations (the “Finalists”).
2. Selection will be primarily based on the submitted responses, along with additional criteria determined by the Panel.
3. The Panel or authorised representative may conduct unannounced site visits to verify the suitability of applicants.
4. Organisations from different locations in and around the Gateway catchment area will be selected.
5. All decisions made by the Panel will be final and binding. No further discussions, appeals or correspondence will be entertained.
6. The event organisers reserve the right to change judging deadlines if required by unforeseen circumstances, without liability to applicants.

Prize

7. The Finalists will be granted a unique opportunity to exhibit at Gateway Theatre of Shopping and will receive a prize package (the “Prize”) that includes:
   • One (1) foldable trestle table;
   • One (1) organisation-specific and Hollywood Foundation co-branded stretch tablecloth;
   • One (1) organisation-specific and Hollywood Foundation co-branded banner wall;
   • Two (2) organisation-specific and Hollywood Foundation co-branded pull-up banners;
   • Ten (10) organisation-specific and Hollywood Foundation co-branded t-shirts;
   • One hundred (100) organisation-specific generic business cards;
   • One (1) company stamp;
   • Two (2) training days for two (2) people, including lunch, valued at R 1 500.00 per person per event;
   • One (1) 30-seconds promotional video about your organisation which will be played at Gateway Theatre of Shopping and shared on sponsors’ socials media platforms;
   • One (1) year Nation Builder membership (nationbuilder.co.za); and
   • Impact Management and Reporting course from Nation Builder available for two (2) people per session which will amount to 4 sessions in total, valued at R 6 000.00 per session.

Prize Conditions

8. No warranties or representations, express or implied, are made regarding the Prize by Hollywood Foundation.
9. The Prize is non-transferable, non-exchangeable, and not redeemable for cash.
10. If a Finalist withdraws for any reason, after accepting the Prize, they will reimburse Hollywood Foundation R 12 861.00 within 14 (fourteen) days of written demand. This amount will be recoverable as a debt.
11. Hollywood Foundation and its authorised agents reserve the right to vary, suspend, postpone or terminate the event, or any unawarded Prize for any reason whatsoever and without prior notice. In such situations, participants waive any rights or claims against Hollywood Foundation or its authorised agents.

Submission Date and Notifications

12. The closing date for entries is 1 September 2025 at 09h00, late entries will not be considered.
13. Only successful applicants will be notified by 10 September 2025 via the email address provided in the application.
14. Finalist must confirm acceptance by 12 September 2025 close of business. Failure to do so will result in forfeiture of the Prize, which will be offered to another suitable candidate.

Additional Requirements

15. Finalists may be required to submit additional documentation to confirm eligibility and process prize allocation. Failure to comply will result in disqualification.
16. A minimum of one and a maximum of two exhibition representatives from each Finalist must attend an in-person compulsory training:
    • Friday 19 September 2025, at Olive Tree Church, Florida Rd
    • Friday, 03 October 2025, at Olive Tree Church, Florida Rd
    • Three additional training sessions in 2026 (dates to be determined)
17. Finalists must have the capacity to exhibit at Gateway Theatre of Shopping from 06h00 to 21h00 on 25 October 2025.
18. No stipends, travel allowances, or food will be provided for exhibiting. Finalists acknowledge they have no expectation of remuneration or funding.

Data and Privacy

19. All information received from applicants will be handled with strict confidentiality.
20. By applying, applicants agree and consent to the processing of their personal information by Hollywood Foundation, Gateway Theatre of Shopping and Nation Builder, in accordance with South African data protection laws.

Indemnity and Publicity Rights

21. Finalists indemnify Hollywood Foundation, its affiliates, and partners against any loss, liability, or damage arising from participation, acceptance, or use of the Prize.
22. Finalists grant Hollywood Foundation, its affiliates, and partners the irrevocable right to photograph and/or film their representatives during the event, and to use such media in any promotional format, without royalties or further approval.

Eligibility

   23. This Entry is closed to any persons who are directors, members, partners, employees, agents or consultants of Hollywood Group or any other person who directly or indirectly controls or is controlled by Hollywood Group or marketing service providers, spouses, life partners, business partners or associate and immediate family members (adopted and natural) of all the above.
